Admissions & Marketing Officer, Prep School

This is an exciting opportunity for a dynamic and highly organised individual with a mix of excellent communication, customer service skills, attention to detail and strong administrative and data management skills.

The Prep Admissions and Communications Officer is a critical role for the school and the first and main point of contact for prospective families at Oxford High Prep School (OHPS) throughout the entire admissions process, always providing an exceptional level of service. The role is responsible for overseeing a constant turnaround of enquiries, applications, meetings and visits throughout the year and be responsible for the smooth induction and transition to school life, liaising with key stakeholders as appropriate and so excellent communication and customer service is required.

Your responsibilities will include maintaining the admissions database, handling enquiries from prospective parents and processing applications in a timely fashion, facilitating the administration of the School’s entrance examinations, and much more. All of which are required within very strict timeframes and in combination with managing a very busy and varying workload. You will also oversee admissions events, such as assessment days, open days, virtual meetings and parents’ visits and maintain the Prep School’s social media channels and presence on the school website.

As you are representing the school, success is determined by prospective families being nurtured appropriately and building relationships quickly. Therefore, the role requires the successful candidate to provide a professional, reassuring, confident and proactive approach to all aspects of the job.

As a vital member of the Schools marketing, admissions and communications team, you will be the main point of contact for all correspondences with prospective families seeking entry to Oxford High Pre School from Reception to Year 6. You will guide families through the full customer journey from initial enquiry to onboarding new students, and everything in between. You will be responsible for ensuring the smooth running and successful completion of the admissions process, for both UK and overseas applicants, whilst always delivering an exceptional level of service and ensuring a high quality of work that is representative of the reputation of the Prep School.

Additionally, you will support with organising and implementing activities (i.e open events) to support pupil recruitment as well as raising the profile of the School within the local community. You will have the opportunity to lead on specific projects and increase your skill set by taking on a wide variety of tasks that are integral to the positive promotion of OHPS.

Communications activity will include the planning and execution of activities across various channels to support awareness, engagement and reinforce our key messages across a variety of digital and traditional channels to current and prospective families.

You will need excellent interpersonal and communication skills, both verbal and written, and be able to maintain a high level of efficiency and attention to detail. You must be able to work independently, taking ownership of your workload, whilst being collaborative and supportive of your colleagues in the department and throughout the school.

To be successful in this role, you will ideally have experience in customer service or sales, as well as marketing and stakeholder management. An external facing role, you will have a positive and proactive approach to work and enjoy managing multiple projects at once.

Excellent administration skills, experience with databases and the ability to take initiative and make informed decisions is a key part of the role to ensure information is up to date and to provide accurate reporting. You will work independently as well as collaboratively and deliver outputs with a high level of efficiency.

Admissions and Marketing are busy year-round; therefore, this role is full-time and requires someone who is proactive and forward-thinking, to ensure that during peak periods you are well prepared and responsive to the demands of the job. The role is mainly based across our pre-prep and prep school; however you will also work closely with staff based in our senior school.
